If collection becomes necessary for a specific service function, we will only do so with your explicit consent, or if required or authorized by law, and only for the purpose it was obtained or a directly related secondary purpose.

4. How We Collect Information

We obtain information through various means:

  • Directly from You: When you register for an account, configure your settings, communicate with us (e.g., via email, support requests, phone), provide instructions to AI agents, or make payments.
  • Automatically: When you interact with our website or application, we use cookies, log files, and similar technologies to collect Usage Data.
  • From Third Parties:
    • If you integrate third-party services (e.g., cloud storage providers), we collect information from those services as authorized by you.
    • We may receive information from publicly available sources (e.g., company websites) or partners for marketing or service provision purposes. If we receive personal information about you from a third party, we will take reasonable steps to ensure you are aware of this.
  • Through Service Use: Information is generated by the interaction between your human employees, your AI employees, and the Talentri platform itself (e.g., AI agent chat history, task logs within your company's instance).

We collect personal information only by lawful and fair means.

5. How We Use Your Information

We use the information we collect for the following primary purposes:

  • Providing and Managing Services: To set up and maintain your account, operate the AI agents according to your configuration (including recurring tasks, triggers, and inter-agent communication within your environment), provide AI executive assistants, process transactions, and deliver core functionalities.
  • Communication: To respond to your inquiries, provide customer support, send service-related announcements (e.g., maintenance, updates), and gather feedback.
  • Improvement and Development: To analyze usage patterns, understand user needs, troubleshoot issues, enhance existing features, and develop new services. Usage data is often aggregated or de-identified for this purpose.
  • Personalization: To tailor the service experience based on your preferences and usage (where applicable).
  • Marketing and Promotions: To inform you about products, services, or promotions that may interest you (subject to your opt-out rights).
  • Security and Compliance: To protect against fraud, abuse, and security threats; enforce our terms of service; and comply with legal obligations, court orders, or governmental requests.

We will only use personal information for a secondary purpose if it is closely related to the primary purpose and you would reasonably expect such use or disclosure, if you have consented, or if it is otherwise required or permitted by law.

6. How We Share and Disclose Information

We do not sell your personal information. We may disclose your information in the following circumstances:

  • Within Your Talentri Environment: Information is necessarily shared between the AI agents you employ within Talentri as part of their designed collaborative function and based on your configurations. Information is also shared between you, your human employees, and the AI agents as part of the service interaction.
  • With Your Consent: We may share information with third parties when we have your explicit consent to do so.
  • Service Providers: We engage third-party companies and individuals to perform services on our behalf (e.g., cloud hosting like Convex, workflow orchestration services, payment processing, analytics, customer support). These providers have access to personal information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose. We take reasonable steps to ensure these providers handle your information securely and in accordance with privacy requirements.
  • Legal Requirements: We may disclose information if required by law, subpoena, court order, or other governmental request, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
  • Business Transfers: If Talentri is involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be transferred as part of that transaction, subject to standard confidentiality arrangements.
  • Aggregated or De-identified Data: We may share aggregated or de-identified information, which cannot reasonably be used to identify you, for research, marketing, analytics, or other purposes.

7. Data Storage, Security, and International Transfers

Security: We take reasonable technical, administrative, and physical measures to protect your personal information from misuse, interference, loss, and unauthorized access, modification, or disclosure. These measures include access controls, encryption (where appropriate), regular security assessments, and staff training. However, no internet transmission or electronic storage is 100% secure.

Storage Location: Your information may be stored and processed on servers located outside of your state, province, or country, including in the United States and potentially other locations where our service providers operate. By using our Services, you consent to the transfer of information to countries outside your country of residence, which may have different data protection rules than those of your country. We take steps designed to ensure that the data we collect under this Privacy Policy is processed according to the provisions of this Policy and the requirements of applicable law wherever the data is located. When we transfer personal information to service providers or other third parties located overseas, we take reasonable steps to ensure that the recipient handles the information in a manner consistent with principles that provide a comparable level of protection, unless you consent to the transfer, or the transfer is necessary for the performance of a contract with you or otherwise permitted by law.

International Transfers: If we disclose personal information to an overseas recipient (e.g., a service provider located outside the country where the information was collected), we will take reasonable steps to ensure that the overseas recipient does not breach relevant privacy principles in relation to the information, unless an exception applies (such as your explicit consent after being informed that this accountability may not apply, or if the disclosure is required by law).

8. Data Quality

We strive to ensure that the personal information we collect, use, and disclose is accurate, up-to-date, complete, and relevant. We rely on you to provide accurate information and to update us if your details change. If you believe the personal information we hold about you is inaccurate, out-of-date, incomplete, irrelevant, or misleading, please contact us using the details below, and we will take reasonable steps to correct it.

9. Data Retention and Destruction

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including providing our Services, complying with our legal obligations (e.g., financial record-keeping for a minimum period, often around 7 years), resolving disputes, and enforcing our agreements.

When personal information is no longer needed for the purpose for which it was obtained, and we are not legally required to retain it, we will take reasonable steps to destroy or permanently de-identify it. Information stored in your active account or within your company's Talentri environment will generally be retained while your account is active, subject to specific retention settings or legal requirements.

10. Your Privacy Rights (Access, Correction, and Other Rights)

You have certain rights regarding the personal information we hold about you. Subject to applicable law and certain exceptions, you may request:

  • Access: To access the personal information we hold about you.
  • Correction: To update or correct personal information that is inaccurate, incomplete, irrelevant, out-of-date, or misleading.

To exercise these rights:

  • Making a Request: Please contact us in writing using the details provided below. To protect your information, we may need to verify your identity before processing your request.
  • Response Time: We will respond to your request within a reasonable period (typically within 30 days, or as otherwise required by law).
  • Access Format: We will provide access in the manner you request if it is reasonable and practicable to do so. If not, we will work with you to find a suitable alternative way of providing access, potentially through a mutually agreed intermediary.
  • Fees: We will not charge a fee for making an access or correction request. However, we may charge a reasonable administrative fee for providing a copy of your personal information in response to an access request.
  • Refusal: In certain circumstances, we may be permitted or required by law to refuse access or correction (e.g., if access would unreasonably impact the privacy of others, prejudice legal proceedings, reveal commercially sensitive evaluative information, or if the request is frivolous or vexatious). If we refuse your request, we will provide you with a written notice explaining the reasons for the refusal (unless it would be unreasonable to do so) and the mechanisms available to complain about the refusal.
  • Associating a Statement: If we refuse to correct your personal information as requested, you may ask us to associate a statement with the information indicating that you believe it is inaccurate, out-of-date, incomplete, irrelevant, or misleading. We will take reasonable steps to associate the statement in a way that makes it apparent to users of the information.

Depending on your jurisdiction, you may have additional rights, such as the right to request deletion of your data, object to certain processing, or request data portability. Please contact us to inquire about these rights.

11. Direct Marketing

We may use your personal information (excluding sensitive information, unless you consent) to provide you with information about our Services or promotions we believe may interest you. This will generally only occur if:

  • We collected the information directly from you and you would reasonably expect us to use it for direct marketing; OR
  • You have consented to receive such communications; OR
  • It is impracticable to obtain consent, and we provide a clear opt-out method.

In every direct marketing communication, we will provide a simple way for you to opt-out or unsubscribe from receiving further communications. You can also request at any time not to receive direct marketing communications by contacting us. If you request it, we will also, where reasonable and practicable, let you know the source from which we obtained your personal information for marketing purposes.

12. Use of AI Agents

Talentri's AI agents operate based on the instructions, configurations, and data you provide. This includes:

  • Processing information provided in chat interfaces.
  • Accessing authorized data from your linked third-party services (e.g., OneDrive, Google Drive, Dropbox) to build and utilize a knowledge base specific to your company.
  • Executing recurring tasks or triggered actions based on your settings.
  • Sharing information between AI agents within your specific company environment to simulate collaborative workflows, as configured by you.

The AI agents use this information solely to perform the tasks and functions requested by you or configured within your Talentri account for the purpose of providing the Services. We implement safeguards to keep your company's data and AI agent interactions segregated from other customers.

13. Anonymity and Pseudonymity

Where practicable and lawful, you may have the option of not identifying yourself or using a pseudonym when dealing with us (e.g., when making general inquiries). However, for most interactions, such as registering for an account, using the core Services, processing payments, and receiving personalized support, it is generally necessary for us to collect your real personal information. Using our Services anonymously or with a pseudonym will likely be impracticable.

14. Cookies and Tracking Technologies

We use cookies (small text files placed on your device) and similar tracking technologies (like web beacons or pixels) on our website and application. These technologies help us:

  • Operate the Services (e.g., session management, authentication).
  • Remember your preferences and settings.
  • Analyze usage patterns and improve the Services.
  • Measure the effectiveness of communications.

You can usually control cookies through your browser settings. However, disabling certain cookies may affect the functionality of our Services.

15. Third-Party Links and Services

Our website or Services may contain links to other websites or services operated by third parties. This Privacy Policy does not apply to those external sites or services. We are not responsible for the privacy practices of third parties, and we encourage you to review their privacy policies before providing them with personal information.

16. Children's Privacy

Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal information from a child, we will take steps to delete such information promptly.

17. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post any changes on this page, and if the changes are significant, we will provide a more prominent notice (such as by email notification or a notice within the Service). We encourage you to review this Privacy Policy periodically. Your continued use of the Services after any changes constitutes your acceptance of the revised policy. The effective date at the top indicates the last revision date.
